THE ROLE
As an Office Administrator, you will help keep Covenant's Grand Prairie manufacturing facility running smoothly day to day. You will serve as the first point of contact for employees, candidates, customers, suppliers, and visitors while managing the administrative needs of the facility.
This is a highly hands-on role for someone who is organized, welcoming, resourceful, and comfortable taking ownership of a wide range of responsibilities. From managing mail and office supplies to coordinating visitors and company events, you will help create a professional and efficient environment that supports our growing manufacturing operation.
WHAT YOU'LL DO
- Serve as the primary point of contact for visitors, candidates, customers, and vendors entering the facility.
- Greet and assist visitors while coordinating visitor access and ensuring appropriate site protocols are followed.
- Manage incoming and outgoing mail, packages, deliveries, and shipments.
- Coordinate with couriers, shipping providers, and vendors as needed.
- Maintain office supplies, breakroom supplies, and other facility needs; monitor inventory and place orders.
- Coordinate office equipment, services, and vendor relationships.
- Support scheduling and logistics for meetings, interviews, customer visits, and site events.
- Plan and coordinate company events, employee activities, meals, and other onsite gatherings.
- Support onboarding logistics for new employees, including workspace setup, supplies, badges, and other administrative needs.
- Maintain a clean, organized, and professional office and reception area.
- Assist with facility communications, signage, and employee announcements.
- Process invoices, purchase orders, and other administrative documentation as needed.
- Support travel, meeting, and calendar logistics for site leadership and visiting employees.
- Partner with HR, Finance, Facilities, Security, and site leadership on administrative needs.
- Help identify and implement improvements to office and facility processes.
- Handle sensitive and confidential information with professionalism and discretion.
- Take on additional administrative and operational responsibilities as the facility grows.
REQUIRED QUALIFICATIONS
- 2+ years of experience in office administration, workplace operations, facilities, or a similar role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Professional and welcoming demeanor with strong customer service skills.
- Strong attention to detail and ability to manage multiple priorities.
- Proficiency with Microsoft Office and/or Google Workspace.
- Comfortable working independently and taking ownership of tasks.
- Ability to interact professionally with employees, candidates, customers, and external partners.
- Willingness to work onsite in Grand Prairie, Texas.
- U.S. Person status required.
PREFERRED QUALIFICATIONS
- Experience supporting a manufacturing, industrial, aerospace, defense, or other operational environment.
- Experience working in a fast-growing company or newly established facility.
- Experience coordinating company events, customer visits, or executive meetings.
- Experience with facilities, vendor, or workplace management.
- Experience supporting recruiting or employee onboarding.
- Familiarity with HRIS, ATS, purchasing, or expense management systems.
- Experience working in a security-conscious or regulated environment.
